Where does the total come from?

Totals hide their structure. A breakdown shows who holds the share, a flow shows how one category feeds another, and a driver view shows which part of a ratio moved.

The example splits illustrative order data by category and region. It is not a customer result.

1. Concentration first.

A common finding is how concentrated a total is: “North alone is 44% of records”, “The top 3 bring 66%”. A few holders carrying most of a total is a risk and an opportunity; an even spread usually means that splitting by this category will not tell you much.

Shares of a total are shown for sums and counts. For averages, rates and levels the bars show the group value against the overall figure instead, because shares of an average make no sense.

2. Flows between two categories.

The Where it goes card draws bands from one category to another, with each band as wide as the amount that travels along it, for example from destination to transport mode. It picks the two categories (up to six groups each, the rest folded into “Other”) that are most strongly linked to each other, and weighs the bands by the main total in the file, or by row counts when there is none. One wide band out of a group shows dependence; evenly mixed bands show that the two categories are unrelated.

3. Drivers and parts.

Two separate things are checked. Drivers: when a number changed between the first and second half of the period, KPI Master splits the change by category and names the group that carried most of it, such as “Google Ads drove 40% of the fall in spend”; it stays silent when no single group stands out. Parts: when the file contains numbers that multiply or add up to another (units × price = revenue, availability × performance × quality = OEE), the relationship is found from the data itself, never from column names alone, and drawn as a tree of what the number is made of.

4. Open the Breakdown view.

Pick a category and a number at the top. The bars, the “makes a real difference” callout, natural groups found from the numbers themselves and the flow card follow your choice. Export the whole set as a report, a workbook or a PDF from the Export menu.
